ZIM collaboration projects

ZIM collaboration projects provide small and medium-sized enterprises with a powerful tool for implementing ambitious development projects in partnership with others. However, the application alone is not the decisive factor.

What matters is that the technical concept, cooperation partners, division of labor, level of innovation, budget, and commercialization fit together seamlessly.

We develop robust cooperation projects based on your initiative – structured and eligible for funding.

For companies that want to turn an initiative into a strong collaboration project

ZIM cooperation projects are the key to implementing technological innovations in partnership with others – efficiently and with government support.

For many small and medium-sized enterprises, however, it is challenging to find the right partners, structure a viable project, and clearly meet the funding criteria.

QRAI takes on this task with experience, methodological expertise, and a strong network. So that your idea becomes a compelling cooperation project that receives funding and makes an impact.

When a ZIM collaboration project might be a good fit

A ZIM collaboration project can be particularly beneficial if your company is pursuing a relevant development goal that cannot be meaningfully or fully achieved through internal efforts alone.

Typical scenarios include:

  • a new product, process, or technical system
  • a materials-related or production-related development project
  • an automation or digitalization project
  • an industrial AI or software initiative
  • a development project requiring research or testing
  • a project requiring additional external expertise

It is important to note:
Not every partner makes a project better. And not every technical idea automatically makes for a good ZIM collaboration project. That is why we first assess whether the project, partner requirements, and funding criteria are a good fit.

ZIM is not just a form-filling project. ZIM is an R&D collaboration project

When companies hear “ZIM,” many immediately think of funding. In practice, however, something else determines the quality of the project:

  • Is there a genuine technical development goal?
  • Is the innovation sufficiently clearly defined?
  • Is external expertise truly needed?
  • Are the right partners involved?
  • Is the division of roles plausible?
  • Can costs, roles, and commercialization be presented in a robust manner?

If these questions are addressed too late, the application process becomes cumbersome and the project difficult to manage. That’s why QRAI gets involved earlier: at the stage of structuring the collaborative project.

The most common weaknesses in ZIM collaboration projects

Many projects have technical potential but are not yet ready for submission. Typical weaknesses include:

  • The core innovation has not yet been defined with sufficient precision
  • The need for collaboration is not compelling
  • Partner roles are unclear or interchangeable
  • Work packages do not fit together seamlessly
  • Budgets and development responsibilities are not clearly allocated
  • Commercial exploitation remains too general
  • The proposal describes the technology but lacks a convincing project rationale

The result:
A good project loses its clarity, momentum, and persuasiveness.

QRAI helps identify and address these weaknesses early on, before time is spent on partner coordination, documentation, and the application.

What QRAI clarifies and structures for ZIM collaboration projects

Before a project can become a ZIM collaboration proposal, several points must be clearly established. In particular, QRAI reviews and structures the following:

Level of innovation

Is the project technically novel, challenging, and associated with genuine development risk, or does it involve adaptation, procurement, or routine development? We help you clearly identify the core of the innovation and articulate it in a way that is consistent with funding criteria.

Need for collaboration

Why does the project need partners? We identify which capabilities are available internally, which areas of expertise need to be supplemented, and which development tasks should be outsourced. This approach avoids creating an artificial consortium and instead fosters a collaboration grounded in professional necessity.

Partner roles and task allocation

Which partner takes on which role? We structure roles, responsibilities, contributions to development, and points of interaction in such a way that the collaboration makes sense from a technical perspective and is logically sound in terms of funding.

Project architecture

A ZIM collaboration project requires more than just a shared topic. We develop a robust project architecture with clear objectives, work packages, responsibilities, timelines, and interfaces between the partners.

Budget, effort, and commercialization

We assess whether the project scope, cost structure, eligibility for funding, internal effort, and commercialization align. This provides a clear basis for decision-making for the executive board, CFO, or commercial management.

Grant-ready proposal

Once the project logic, partner structure, and eligibility criteria are in place, we assist in developing a ZIM cooperation proposal. The proposal itself is not the starting point, but rather the result of a well-structured project foundation.

Cooperation first. Application second.

For us, a ZIM cooperation application is not the start of the project. It is the translation of an already well-structured cooperation plan.

That’s why QRAI doesn’t start with the form, but with the questions that determine the project’s quality:

  • Is the project strong enough?
  • Which partners are truly necessary?
  • How is the division of tasks justified?
  • What development risks make the project eligible for funding?
  • How will economic benefits be generated?
  • How can the process remain manageable for management and the relevant departments?

That’s the difference between writing a grant application and structuring a project.

Frequently asked questions about ZIM collaboration projects

We don’t have a partner yet. Is it too early?

No. That is precisely when an early assessment makes sense. Often, it is first necessary to determine exactly what expertise is truly lacking in the project. Only then can a sound decision be made as to whether a company, a university, an institute, or another development partner is the right fit.

Our idea isn’t fully developed yet. Can we still talk?

Yes, if there is a genuine technical development goal. An initial consultation is a good idea if you know the direction you want to take in your development but are not yet sure how to turn that into an eligible collaborative project.

Does QRAI also help to find a partner?

Yes. QRAI provides support in defining partner needs, identifying suitable partners, and structuring the collaboration. The focus is not on establishing as many contacts as possible, but on creating a suitable, sustainable project structure.

Do you also work with universities and research institutes?

Yes. Depending on the project, we assist with involving universities, research institutions, organizations, or specialized corporate partners.

Does QRAI only assist with the application?

QRAI gets involved earlier: at the stage of the project idea, collaboration strategy, partner structure, work packages, exploitation, and eligibility for funding. The application is submitted only once the project has a solid foundation in terms of content.

Is ZIM always the right funding program?

Not automatically. ZIM can be a very good fit if the level of innovation, the company’s situation, the need for collaboration, and commercialization align. That’s why we start by assessing whether ZIM is truly the right choice for your project.

How much funding can a company receive through the ZIM cooperation project?

Companies participating in the ZIM cooperation project can claim up to 560,000 euros in eligible expenses per subproject. Depending on the company’s size, location, and specific circumstances, this may result in grants of up to 308,000 euros.

It is crucial that each project component be technically necessary, clearly defined, and supported by its own work packages. A concise overview of the ZIM funding criteria, requirements, and process can be found here: ZIM summary

How much funding can research partners receive?

Research institutions can receive funding covering up to 100% of their eligible costs in ZIM collaboration projects. Up to 280,000 euros is available per subproject.

Again, the research partner’s role must be justified on a technical basis and fit within the project’s logic.
